Project Terms
These terms are designed to make our working relationship clear, fair and collaborative. Please read through the following before confirming your booking.
01. Scope of Work
The scope of your project is outlined in your proposal. If you'd like to expand beyond what's included (e.g. additional creative assets, brand strategy sessions, or campaign planning), we’re happy to quote for this separately. No additional work will be undertaken without your written approval.
02. Brand Strategy & Deliverables
The brand strategy session is a one-off, 90-minute session followed by the delivery of a tailored strategy document. This document will be provided in a shared Google Drive folder, which also houses your brand assets, photography, content plans, and any other materials we create together — acting as a central content hub for your business.
With ongoing Instagram management, we continue to review, refine and evolve your strategy during monthly or bi-monthly check-ins to ensure it continues to support your business goals.
03. Creative Direction & Photography Shoot
We will liaise remotely with your photographer/videographer in advance of your shoot, providing a moodboard, brand brief and clear creative direction. A member of The Forest team will attend the shoot in person for at least one full day to act as creative director and ensure quality, consistency and brand alignment.
If the client or photographer needs to cancel or reschedule the shoot, we cannot guarantee our attendance for the new date. We recommend that new dates are only confirmed once our availability is secured. Should the shoot extend beyond one day, an additional creative direction fee may apply.
04. Content Creation & Templates
Where relevant, we may create branded Canva templates (e.g. quote cards, announcements, product features) to complement your photo and video content. These will be shared for approval before being used, unless otherwise agreed.
05. Content Planning & Approvals
We typically work one to two weeks in advance of publishing. Due to the fast-paced nature of content creation and the opportunity to react quickly to trends, events or customer insights, we cannot guarantee time for client approval of each individual post.
However, unlike most social media agencies, we begin our work with a deep brand strategy process. This ensures all messaging, tone and themes are pre-approved by you and aligned with your long-term goals. If at any point you would like content edited or removed, we are happy to accommodate this in line with best practice.
06. Instagram Management Terms
We recommend a minimum 6-month commitment for content management to allow the strategy to take effect and deliver meaningful results. A minimum of one month's notice is required to pause or cancel your ongoing management plan.
Instagram content is scheduled using Instagram’s in-built tools, which are efficient and cost-effective — no third-party scheduling platform subscriptions are required.
07. Client Responsibilities
You are responsible for timely communication, basic approvals where required, and sharing any new imagery, updates or ideas that may support content creation. If delays occur on your side (e.g. missing shoot materials or prolonged lack of communication), this may impact the content calendar and outcomes.
08. Ownership & Portfolio Use
All content created by The Forest on your behalf becomes your property once it is published or delivered. You are welcome to reuse it across other platforms as needed.
We reserve the right to showcase elements of the project (e.g. brand strategy, Instagram feed screenshots, testimonials) in our portfolio and marketing materials, unless you explicitly request otherwise via a formal NDA or written agreement.
09. Conduct & Content Ethics
We are proud to represent businesses that reflect the values of respect, inclusivity and integrity. As such, we will not create or publish content that is hateful, discriminatory, incites violence, or promotes misinformation, conspiracy theories, or abuse of any kind.
Content must be aligned with the agreed brand strategy and be used solely for the promotion and development of your business.
We reserve the right to pause or terminate our agreement if content expectations fall outside of these boundaries.
10. Cancellations & Refunds
Please note, deposits are non-refundable. Once work has commenced, it is not possible for use to issue a refund. In the unlikely event that we are unable to deliver the work due to unforeseen circumstances on our side, you will be offered either a full refund or a revised timeline with an applied discount.
11. Third-Party Tools & Ongoing Costs
The investment outlined in this proposal does not include the cost of any optional third-party tools or services such as:
Professional photography by a third party provider
Instagram subscriptions (e.g. paid verification)
Boosted posts or paid ads
Google Ads
Email marketing platforms
Design or analytics tools (e.g. Canva Pro, Flodesk, etc.)
These can be quoted for separately, and we’re happy to advise on the best options — but any associated fees will be billed directly to you by the relevant provider.
